We are all aware that we recently conducted a survey seeking to find out the experience of
our customers from their use of the new weight loss optimizer product. We got the results and thus
it is important to make note of the following issues. I want to thank each of you for the various
responsibilities in doing the survey. These are the study outcomes.
Weight lose optimizer advantages
From the study that has already been carried out on the product, with 100 people as participants,
90% confirmed to lose over 15 pounds after some reasonable time as they used the product. 80%
of them reduced in weight as they continued using the weight loss optimizer. This means that we
have the capacity to manufacture and keep up with increased demand for the product as
supplement. We also have grown in experience from the sale and marketing of products that
reduce weight. We still enjoy a significant customer base that is already using the current weight
lose product.
Disadvantages of the product
From the study, 10% of respondents failed to see same results as they used the weight lose
optimizer product as the others. Thus we have a challenge in convincing them that the product is
worth their use. These disadvantages can be mitigated through having the technical team in our
company to come up with a tracking device for the customers that will be used together with the
weight lose optimizer product. The tracking device will make the customers to be tracking their
start weight, intake calories and physical activities they do. However, it is important to note tow
issues from the research; from the study it is not known if the respondents made use of the product
in the correct manner by following the given guidelines. It is also not easy to know whether, the
10% victims may not have lost more than 15 pounds as the others but lost at least some amount of
weight as they used the weight loss optimizer.
Besides this development in the company I thank you for your continued support you have
shown for the last decade towards the growth of the company. I would like to urge you to be
patient with the success of the company bearing in mind that the company needs this form of effort

I am sending the letter on behalf of the company to remind you about the importance of
shortening the manufacturing lead time in both companies especially for the new product the
‘weight loss optimizer’ so that we meet customer demand and achieve its success.
As you are aware, the product marketing success depends on our partnership move between the
two companies. I wish to remind you that part of this success includes shortening the lead time of
the product so that we are able to meet customer orders in good time. We are observing this fact
already on our side by ensuring that the products are manufactured in good time. However, we

It may true that the weight lose optimizer did not show any positive results after usage
according to some customers. However, it is important to note that we have done a test on the
product and it has proved to be effective in making people lose their body fat in weeks. We agree
as a company that the product may not show results immediately after use, though we urge
customers to consider various factors before they can give up on our product. We have noticed
that customers may not follow the stipulated instructions of usage and when this is the case, they
may fail to see ay results. The steps to solving the complaint includes, listening and
understanding to concerns raised by customers. The company will be ready to receive any
complaint that comes our way. Empathizing with the customers is the other step. The company
will be ready to refund money to customers who do not get results after using the product.
Offering a solution to customer queries comes next. The company identifies the cause of the
issue as failure to follow instructions and will be ready to train them. Executing the solution is
the other step. The company will ensure that customers are trained on product usage. Making a
follow-up marks the last step of resolution. This will be done through customer feedback and

Let me take the opportunity to take through some important development that our company has
made for the last one year up to this moment. Let me introduce you to the agenda of today that
will include a briefing of a new company merger, a new product and the benefits to you and the
customers, and other matters arising.
As you are all aware, the company has made significant development in terms of growth
as per the annual financial report. It has come to me that you should be briefed of the recent
developments of the company so that you are part of the development. You are conversant with
the company slogan that in unity we can soar great heights in terms of success and development.
This is what has kept the techno Inc. going forward. The slogan has enabled us achieve great
things together as a company much of which you are aware. I thank the management for they
have embraced and nurtured this form of unity among all the internal and external stakeholders
of the company. I also thank you all for you have shown continued support to the management
and the company as a whole. In this case, I take the chance to remind you that as a manager I
cannot forget to share anything taking place within and outside the company that has a direct or
indirect benefit to our company. It has not been the plans of anybody to hide anything from you.

The first in my agenda is the recent merger that techno Inc. formed with another company
that you may have heard about it, the Pills Inc. From our last annual general meeting it was part
of the company agenda that the company looks for a new product to send to the market as part of
the New Year resolution. This was the baseline of the plan and next came the aspect of
producing the item and getting it to the market. This is how the thought of a merger came in. The
various benefits of this partnership are that we will be able to save on the cost of production. As
we produce the new weight optimizer product, our partners will be able to provide the pill casing
for the product. This way we make savings in terms of the cost of production that comes in terms
of labor, raw materials, storage and marketing. In this case, we proposed to look for a company
with a good customer base, a brand and competitive advantage, in the same market for weight
lose products, as we are. We then identified the Pills Inc. as the company we were looking for.
The company helps us produce the pill casing for the new weight optimizer. At the same time we
are sharing the cost of marketing the product and the overall benefits we meet in the sale of the
product will be shared according to agreed rates. The partnership move is a benefit to us and you
as key stakeholders in the company. Beside the ones I have just mentioned include others such as
sharing the cost of raw materials, helping us open new branches in their home country based on
their firm grip that they have in the local market there. This move will be an achievement to us in
towards the fulfillment of one of our key objectives; the one about reaching the international
market with quality services and products. You are yet to see more about the strategy of
partnership.
The next item in the agenda involves the product itself, the new weight loss optimizer and
the benefits to us and our customers. Since the production of the product we have experienced
various challenges that involve the use of the product among some customers. Key among the

We carried a survey to look into some of these issues and we are now informed about them.

sell, we have decided to embark on carrying out a campaign to train the customers on how well to
make use of the product so that they are assured of positive results at the end of the stipulated time.
At the same time our technical team has come up with a gadget to monitor the body weight of the
customers as they use the product so that they make note of the slightest change ever.
Finally I call upon you to continue supporting the company in achieving our goals and
objectives so that together we grow and develop. We also urge you to help the company in
marketing the company products through taking time to inform relatives, friends and any people
