Education has proved to be essential to any county’s economy. It is what determines the
strength and the power of the nation, and therefore most nations in the world strive to provide
their citizens with the best education system that provides them with the right expertise they
require to survive in the society. For this to be done the institution that offers the skills and
expertise for the students more so, the universities have to have the best scheme that will help
them to fit in the world after graduation. The scheme that the university has to have has to be in a
position to store all the data or the records of the students ever since they registered in the
institution until the time that they will be graduating. As a database consultant, I was approached
by Strathmore University and mandated to help in the development of a university data design
strategy that would be used to store all the students’ records.
The key elements that the university will need to make their system supportive of the data
they will need to store would be a properly recorded inventory with proper classification, a good
retention scheduling, and a proper storage media for all the data as well as the conversations.

Alternatively, on the proposal list for the university, the institution must plan for an essential
record program, disposition and integrated disaster prevention and recovery planning programs
that will enable the program to run endlessly. The institution has numerous schools with different
courses being offered by the various lecturers. It is for this very reason that makes it essential for
the institution to develop an entity-relationship model that will connect the data stored and
released from the various school deans to the central administration.
The various schools under their deans will have a storage mechanism that outlines all the
core courses that the students need to take before graduating and the common units that virtually
all the students have to complete. Being that the school has the following schools, school of
business, education, law, science, health and medicine, engineering, and school of computer and

technology, all these school deans should have systems that stores all the departmental data of
every student in the school and their scores as well. In units offers for each school should also be
attributed to the system with the specific time frames when they are being offered with the
respective lecturers and professors handling them. Again the venues and semesters that they are
offered must be articulated clearly (Sieb et al, 2017). It is important to note that the elements that
will be used in the ERM are the unite course units, lecturers, courses with the codes and the
student's records. Under the student records it is where what they attained and their lecturers are
recorded with the time they took the examination.
Being that some course units have prerequisites that need to be done before they are
undertaken, the model should outline them. It also gives a guide on when they are to be taken
before the students can proceed to the next level. For instance, in the school of business the core
unit, if is business administration coded BBA 100 in the first year, students cannot enroll for
BBA 200 before completing BBA 100 because it is a prerequisite for BBA 200. The system
developed should outline all these. Nonetheless, different schools are mandated to provide their
professional course for their students, and these may include computer science, nursing, forensic
science, biology to name just a few. All these professional courses too must be coded properly
and should not interfere with all the common units that different students from various schools
take together.

In the institution’s effort to provide the very best for the students, it has aligned its
programs in such a way that all the professional courses guidebooks are offered online. It is done
to make the students have ample time accessing the books and knowing what is required of them
to achieve the best academic excellence within the institution. An online grade book is also to be
provided to give guidance on how the grades are awarded and the time periods that the grades
have been issued.
The assumption that is made is that there are some units from different schools that are
that are being taught by the same tutor, the model was also to give an outline of how these
lecturers will handle their classes without any confusion. Examples of these units are common
units that are offered in the first year like communication skills and entrepreneurship. Students,
however, are not expected to enroll for more than one course at a time. Others can only be
registered and pursued once a student graduates. The model developed has to have all the courses
codes outlines with all the details of those pursuing them. It means that the admission numbers of
the student with all their medical reports as well as their dates of births are provided in their
course profile.
In the process of university management, the institution can use various business
intelligence reports. Some of the reports that they can decide to use include the managed report,
production report, transaction report, and the statement report. All these reports will help the
executives in courses management, data storage, and student profile maintenance. The managed
report will be used for general institution management as it will govern the various departments
of the university and it will be linked to the central administration (Kumar et al, 2018). The
product report, on the other hand, will be used to store and keep all the vital information like a
student profile from the first year for future use and in availing them whenever they are needed.

Transactional reports will be used in the institution to provide the management with a detailed
report on transactional sources compiled from the main database. The statement report is vital in
the university since they are used by the executives to knowing the financial report of the
institution and fees schedules and profiles for all the students in the institution per academic year.
Various vendors aim at developing registrar of various institutions and school
management database systems that would help in outsourcing executive functions at the
universities. Some of these vendors that would be helpful in completing the executive functions
include Microsoft, IBM and computer associates. The one that proves to be more suitable for the
university is the computer associates. It is the most suitable because it was designed specifically
for the development of institution databases, unlike the other vendors (Coronel & Morris, 2016).
Besides, it comes with its software that is helpful for the institution making executive duties to
be simplified with a lot of ease. Through its software, it is possible to automate all the processes
making all the duties that are to be done per department to be simplified thus facilitating
accountability in the institutions.
The vendors offer different system offers that are vital for any institution. Microsoft
offers institutions with professionals that are skilled and expertise in the specific area and this
makes it the best for developing records. The IBM, on the contrary, promotes the development of
the best mechanism of coming up with the most suitable personnel that can man and maintain the
institution's systems making it be more or less like the Microsoft that relies on the data and its
storage (Database Management System, 2015). The computer accessories however, is unique it
offers comprehensive coverage of all the university needs coverage. It is thus the most suitable as
it is not restricted to one specific area. Besides, it is the only vendors that offer the full package
that is economical and covers all the needs of any institution.
